Autoresponders: An Effective Way to Keep in Touch with Your Prospects and Customers

If you’re running a business online, email is an inexpensive and fast way of keeping in touch with your prospects and customers.

Let say you have a new customer and you want to send them a series of emails to educate them on a product they purchased.  You send them an email on day 1, send them another 2 days later, and perhaps a 3rd or 4th email a few days later.  If you have just a few customers, keeping track of what emails to send to each prospect is probably manageable.  But what if you have many customers?  How do you keep track of what emails they’ve received and when they get them? The answer is an autoresponder.

What is an Autoresponder

An autoresponder is a program to automatically send emails to your prospects. The simplest kind of autoresponder is an out-of-office email, where someone who sends you an email automatically gets notified that you’re not in your office.

A more complicated autoresponder is needed for keeping in touch with all your prospects.  With this type of autoresponder, you write your emails ahead of time and determine when the emails are sent by defining the intervals (the days between emails) to send the emails. Typically your prospects and customers subscribe to your emails by opting into your website or landing page. Their email address is added to your autoresponder list and they start receiving your pre-written emails.

The beauty of an autoresponder is that it keeps tracks of which email to send to each prospect and when to send it. So you can have a customer who started receiving your emails two months ago and get a new prospect tomorrow. Both will get the same series of email in the same sequence. Your subscribers have the option of unsubscribing to your emails by clicking on an unsubscribe link that’s automatically included in your emails, or you can set up a “rule” to switch subscribers to a different email list depending on your needs, for example, a customer buy a different product and start receiving emails on that new product. You can also send broadcast emails to all your subscribers at one time when you have something new to share with them.

The Benefits of Autoresponder

There are many benefits to using autoresponders.  Here are just a few:

  • Leverage your time by writing emails ahead of time and sending them automatically in a sequence you determine.
  • Personalize emails to each prospect by using their name in the emails.
  • Build stable relationships with your customers through your autoresponder. Build trust and credibility.
  • Advertise your business by send information about your services or products.
  • Ensure deliverability of your emails.
  • Save on mailing costs since emails are free.

Conclusion

Autoresponders are an effective and powerful tool for keeping in contact with your prospects and customers. By automating your emails, you can free up time to work other aspects of your business and still keep your subscribers “in the know.”
